How to write email updates people actually read

Have you ever received an email that you know has the answers you need in it but its paragraph. After paragraph. After paragraph…

In a world of information overload, stand out by speaking ABOVE the fold.

Basically, it means to speak in terms of a “headline" to grab attention and deliver it home 🏃🏻‍♀️.

In my emails I like to have a TLDR (too long, didn’t read) section with the headlines, then I use the headlines below with additional details below if someone wants or needs more than the headline. 

Let’s dive into some examples:

Transform complex project updates:

❌ "the team spent the last three days streamlining our workflow and reducing bottlenecks."

✅ "Workflow Revamped: 30% Faster, Bottleneck-Free"

Celebrate wins and achievements:

❌ "We successfully completed the project and met our targets."

✅ "Project Success: X Target Hit Y Days Ahead of Schedule"

Distill complicated concepts:

❌ "Our goal is to optimize the user experience to increase engagement."

✅ "Project X Target: Boost User Experience by Y%"

Give clear feedback:

❌ "Your report was good, but there's room for improvement."

✅ "Solid Report. Elevate Data Analysis for Bigger Impact."

Summarize meetings and calls with a clear target:

❌ "We discussed several topics and assigned new tasks see notes for details [link to somewhere else]."

✅ "XYZ Decision Made, New Goals Set for X”

Bonus: Summary meeting notes as follows:

Action Items

  • Action Item - Assignee - Due date

Decisions needed

  • [Decision Maker] - decision summary - decision due date

Discussion summary 

  • Summary headline of each discussion point
